Operations Associate
Salary: Starts at $60,000

Location: Hybrid role - Must be located in or near Boston, MA for 1-2 days weekly in office
Project Evident is seeking an Operations Associate to join our Operations team. Our organization is experiencing incredible growth, and we are in a unique opportunity to deepen our impact over the next few years. You will work closely with the Operations team and across the organization, both as a builder of new processes and a steward of critical systems that we rely on. ABOUT THE ROLE
The Operations team is responsible for maturing the organization, setting high standards for operational excellence, and advancing a culture of belonging and accountability for the organization. In this role, you will work with a distributed and collaborative high-impact team to ensure excellent talent, financial, technology, and operational support to our rapidly growing organization. You will report to the Chief Operating Officer, Diana Frothingham, and work closely with other members of the Operations team.
Below is a full list of responsibilities you can expect in this role:
Core Processes and Policies (75%)
- Support the organization with essential operations tasks to ensure that financial, HR, and technology processes run smoothly and on time. This involves helping with financial transactions, managing sensitive HR documents, assisting in the implementation of new technology, and analyzing data
- Process account payable (AP) and monthly contractor/vendor billing. Maintain a list of active vendors and their associated budgets/contracts.
- Assist with tracking and reporting on project management deliverables in Asana or other project management software
- Maintain ongoing calendar and workplans for the Operations department to ensure that deliverables are handled in a timely manner and measured with sufficient lead time to gather information from all stakeholders
- Working with the team, maintain and document organization-wide policies and procedures
- Ensure all vendor agreements are up-to-date and alert management when the end date of the contract is approaching
People & Human Resources (15%)
- Work with management to implement core talent processes such as recruiting, onboarding, and offboarding
- Process payroll and submit all related state and federal filings in a timely manner
General And Administrative Support (10%)
- Draft, write, and edit quality documents, presentations and other communications for internal and external use
- Keep current records of tech data and licenses to ensure the organization has accurate information for optimizing and using technology effectively
- Organize and document leases and maintain records of office supply and equipment inventory.
- Handle office administration tasks as necessary to maintain the Boston WeWork office

The ideal candidate will have a minimum of 2 years of experience working in operations, talent management, accounting, and/or finance. This role requires managing multiple projects and tasks where the details really matter. To succeed in this role, you need exceptional organizational skills and the ability to prioritize work simultaneously across diverse stakeholders with competing deadlines. We are looking for a proactive self-starter who works independently, welcomes feedback, seeks clarification, manages work from start to finish, meets all deadlines, and communicates clearly, openly, and promptly.

- Bachelor’s degree or equivalent experience
- A minimum of 2 years of experience in operations, talent management, accounting, and/or finance
- Experience and comfort working in a hybrid position
- Experience supporting the development and maintenance of organizational processes and systems for growing teams
- Ability to create and manage spreadsheets of financial data
- Proven ability to work under tight timelines, accurately assess problems, and develop solutions
- Impeccable attention to detail and extremely high standards for accuracy and ability to handle sensitive information discreetly and appropriately
- Experience working effectively with multiple stakeholders who may have evolving priorities
- Ability to solve problems and is an active listener who seeks clarification, asks questions, and surfaces solutions.
- The ability to independently research and consolidate information including technical documentation and policy
- Excellent oral and written communication skills, with a proven ability to write and copy edit clear and concise narratives and presentations.
- High degree of proficiency with Google and Microsoft software including Docs/Word, Slides/Powerpoint, and Sheets/Excel. Experience with project management software such as Asana is preferred.
